What is Order Management?
Order Management is how you track an order from the moment it comes in to when the job is completed. Instead of relying on paper, spreadsheets, or memory, EasyBiz gives you a structured process that your whole team can follow.
Why does this matter for your Business
-
Everything in one place: Move away from scattered notes and spreadsheets into a single system where all your orders are tracked.
-
Consistent quality: Every order follows the same steps, so your team handles each job the same way.
-
Know where things stand: Get a clear view of where every order is at any given time, so you know what needs your attention next.
How EasyBiz Tracks Orders: Order Pipelines
In the current console, the journey of an order is defined by Order Pipelines. A pipeline is a named sequence of steps that an order moves through. Pipelines are grouped into three phases:
1. Pre-Production
How orders are received and quoted before production begins. For example, a “Home Pickup” pipeline might have the steps Pending Pickup → Picked Up → Quote Sent. This phase is skipped for orders that are confirmed on the spot, such as a walk-in drop-off that is paid immediately.
2. Production
The processing stages orders go through — for example Washing → Ironing → Packing. Production pipelines are shared across all order types in a business unit.
3. Completion & Handover
How completed orders are handed over, delivered, or otherwise closed out — for example Ready for Collection → Collected, or Out for Delivery → Delivered.
Each step in a pipeline has:
-
A Step Name — the label your staff see on the order (e.g. “Pending Pickup”).
-
A Status Category — tells the system what stage of the order this step represents (e.g. Draft, Quoted, Confirmed, Completed).
-
An optional Auto Trigger — a staff action that automatically moves the order into this step.
Connecting Pipelines to Your Business
Pipelines only take effect once they are assigned to a Business Unit. Each business unit chooses which pre-production, production, and completion & handover pipelines its orders follow, and you can assign different pipelines for online orders and for POS / shop orders.
