Setting Up Booking Options

The Menu of Your Logistics Booking Options are the specific choices a customer sees when they check out. Think of this as defining the "Rules of Engagement" for your services. You might want to offer a free "Standard Pickup" that requires 2 days' notice, but also a premium "Express Pickup" that is available immediately.


Why configure options?

  • Manage Expectations: Clearly show customers when you are available.
  • Protect Your Operation: Prevent last-minute orders that your team can't handle.
  • Segmentation: Create different rules for different channels.

Create a New Option

Navigate to Settings > Bookings > Booking Options and click + Add Booking Option.

You will be prompted to select a type:

  • Home Pickup
  • Home Delivery
  • Store Pickup
  • Onsite Service
Note:

Regardless of which type you select, the configuration settings below are identical for all options.


Basic Configuration

Option Name: Enter a clear name visible to customers (e.g., "Express Delivery" or "Standard Pickup").


Setting the Lead Time

This determines the preparation buffer required before a slot becomes available. You can choose from 4 different types of lead time logic:

  • No lead time

Select this for immediate availability. Customers can book a slot for the current moment.

  • Next day booking

Select this if you require at least one day of notice. The earliest slot available will be tomorrow.

  • By Hours

Select this to set a specific hourly buffer. You must input the specific number of hours needed for preparation.

Tip:

Use decimals for minutes (e.g., enter 0.5 for 30 minutes, or 0.25 for 15 minutes).

  • By Days

Select this to specify a buffer based on Working Days. You must input the number of days required.

  • Workdays Setting: You can specify exactly which days count as "Workdays". By default, the system counts all days. To restrict this (e.g., Mon-Fri only), simply check the specific days you want to include.
  • Same Day Cut-off: By default, the system does not count the booking day as a "Working Day." However, if you set a Cut-off Time (e.g., 12:00 PM), any booking made before this time will count today as 1 Working Day.

Selectable Days (Availability)

Specify how many days after the Lead Time (Working Days) customers can choose for their booking. (e.g., "Next 7 days").

You can also specify exactly which specific days customers are allowed to book.

  • Default Logic: By default, the system enables all days.
  • How to configure: To restrict this (e.g., Mon-Fri only), simply check the specific days you want to offer. Unchecked days will be unavailable.
Note:

Store Opening Hours only affect Service Availability (e.g., Pickup/Delivery slots), but they do not pause the Lead Time countdown (Working Days).

This section only controls which days are available. To configure the specific hourly slots (e.g., 10 AM vs 2 PM) for these days, refer to the next guide.

Surcharges & Limitations

  • Surcharge

Turn on this toggle to charge extra for this option. You can set a Percentage (%) or a Flat Amount.

  • Limitations

Restrict where this option appears.

  • Sales Channels: Make an option exclusive to a specific Store or Online App.
  • Service Options: Limit this booking type to specific services only (e.g., "Dry Clean" only).

Rescheduling Rules

You can enable Customer Reschedule and set a rule (e.g., "Require 24 hours in advance").

You can also set a message to inform customers why rescheduling is locked (e.g., "Rescheduling is closed 2 hours before pickup")


Using the Option Preview

You can manually adjust the Preview Time and Date (top right of the calendar) to test different conditions:

  • Test Cut-offs: Change the time to before your cut-off (e.g., 10:00 AM) versus after (e.g., 2:00 PM) to see how the "First Available Date" shifts.
  • Test Future Dates: Click on the calendar to change the reference date (e.g., simulate a booking made next month).

To see how public holidays or specific block-out dates affect this option, select your Business Unit in the dropdown menu below the preview calendar.

Understanding the Calendar Legend

  • Blue (Workday): Days required for preparation (Lead Time).
  • Green (Selectable): The days available for the customer to pick.
  • Grey (Off Day): Days blocked. This includes days unchecked in your settings, dates outside the selectable range, or blocked dates from the Blocking Rules.

Managing Your Options

Once you click Create Option, your option is saved. You can manage existing options by clicking the ••• menu on the right side of any row:

  • Edit: Modify your lead times or settings.
  • Preview: Quickly simulate the availability logic without entering the edit screen.
  • Remove from Business Unit: This disables the option for a specific branch without deleting it completely. The status will change to "Inactive."
  • Delete: (Visible only for Inactive options) Use this to permanently delete an option from the system.
  • Assign to Business Unit: Use this to activate a new option or re-enable an inactive one for specific branches.
