Two Ways to Set Up EasyBiz
Every setting in EasyBiz can be configured manually through the ⚙️ Settings pages — that is what most Help Center guides walk you through. But for many settings there is a faster path: ask the AI assistant to do it for you.
Both paths end in the same place. A payment method added by the assistant is exactly the same as one you add on the Settings page yourself. Use whichever is quicker for the task at hand.
If you have not met the assistant yet, start with Meet Your AI Assistant .
Before You Start
-
You need to be signed in to the EasyBiz Console. The assistant lives in the Help panel, under the Assistant tab.
-
To approve changes, you need to be an owner or admin. Other team members can ask, but the change waits for an owner or admin to approve it.
-
Know what you want the end result to be — “GST at 9%, prices tax-inclusive” gets a better proposal than “fix my tax”.
How It Works
-
Open the assistant and describe the change in plain language, including the exact values you want.
-
The assistant prepares the change and shows it as a card in the chat — you see what will change before anything is saved.
-
Review the proposal. If it is right, click Approve . If not, reject it or reply with a correction, and the assistant adjusts.
-
Once approved, the change is applied — the same as if you had saved it on the Settings page yourself.
What the Assistant Can Change for You
Today the assistant can propose changes to these areas. In every case, you review and approve before anything is saved:
| Area | Examples of what it can change |
|---|---|
| Payment methods | Add or edit the custom payment methods your POS accepts |
| Company tax and rounding | Tax rates and rounding rules on your company |
| Discounts and surcharges | The preset adjustment options staff pick at checkout |
| Company profile | Your registered business details |
| Time slots | The pickup and delivery time slots customers can book |
| Service areas | Where each business unit offers pickup and delivery |
| Notifications | Which events send notifications to your team |
| WhatsApp general settings | Business hours behaviour and other general WhatsApp options |
| Store credit | Your store credit policy and top-up options (for example “pay $100, get $110”) |
| Loyalty points | Your earning policy and the rewards customers can redeem |
| Receipt text | The wording on your sales order receipts |
| Brand profile | Your logo and brand colours |
The assistant can also help you add new parts of your business — for example setting up a new business unit or a new POS sales channel. It walks you through the details it needs, then proposes the setup for your approval.
What It Can Only Guide You On
Some settings the assistant will explain and navigate you to, but will not change for you:
-
Price lists and price rules — see Create Price Lists
-
Message templates and auto reply rules — see Setting Up Auto Reply Rules for Your WhatsApp
-
Business hours, sales channels, deal pipeline stages, custom data fields, and invoice numbering
For these, ask the assistant “where do I change this?” — it points you to the exact settings page, and in many cases can open the settings form for you so you only have to fill it in.
Example Requests to Try
Copy any of these into the assistant chat and adjust the details to your business:
-
“Add a payment method called PayNow QR to my POS.”
-
“Set my company GST rate to 9%.”
-
“Create a 10% discount option called ‘Loyal customer’ that staff can apply at checkout.”
-
“Update my company address to 123 Bedok Road, #01-01.”
-
“Add a store credit top-up option: customer pays $100 and gets $110 credit.”
-
“Add a loyalty reward: 500 points for $5 off.”
-
“Change the thank-you message at the bottom of my receipts to ‘Thank you! See you next week.’”
-
“Set up delivery time slots for weekday mornings, 9am to 12pm.”
Check the Result
After you approve a change, verify it the same way you would check manual work:
-
The assistant confirms in the chat once the change is applied.
-
Open the matching ⚙️ Settings page and confirm the new value is there — for example, check Loyalty Points settings after approving a new reward.
-
For anything customer-facing (payment methods, time slots, receipts), run a quick test order at your POS to see it live.
If It Didn’t Work
-
The assistant says it cannot make that change — the setting is likely in the guide-only list above. Do it manually on the Settings page; the assistant can take you there.
-
No Approve button appeared for you — approval is limited to owners and admins. Ask your account owner to open the chat and approve, or make the change manually.
-
The proposal has wrong values — do not approve it. Reply with the correction (“the rate should be 9%, not 8%”) and review the new proposal.
-
You approved the wrong thing — open the matching Settings page and correct the value manually, or ask the assistant to prepare a new proposal with the correct value.
Frequently Asked Questions
Is setup by chat safer or riskier than doing it manually?
It changes the same settings as the Settings pages. You see the proposed values before anything is saved. Always check the proposal before approving it.
Can the assistant set up my whole shop in one go?
It works change by change, with a separate approval for each one. For a full first-time setup, follow the Getting Started guides and use the assistant to speed up individual steps.
Who can ask for and approve a change?
Any signed-in team member can ask the assistant for help. Only an owner or admin can approve a settings change. Nothing is applied while it is waiting for approval.
Is there an audit trail?
Yes. An audit trail is a saved record of what happened. The proposal and final result remain in the assistant conversation. EasyBiz also records who approved the change and what was applied.
Can I undo an approved change?
There is no one-click undo in the assistant. Open the matching Settings page and change the value back, or ask the assistant to prepare a new proposal with the correct value. Review the current setting first in case someone changed it again later.
Why does it open a form instead of just doing it?
For some settings, the assistant opens the normal settings form for you. You enter and save the final values yourself. This is used when the setting needs your judgement.
